Volunteer Hours Tracker

The Ontario Secondary School Diploma needs 40 hours of community involvement, and most students lose track of them somewhere around hour twelve: a food bank shift, two afternoons of coaching, a cleanup day nobody wrote down. This tracker is where those hours go so the total is not reconstructed from memory in grade 12.

Each row is one activity. Date, organization, hours. Total, remaining and a percentage toward 40 come out the other side, and you add or remove rows as the year goes rather than keeping a running total in your head.

One honest detail up front: a row only counts if it has both an organization name and a positive number of hours. Hours with a blank organization get skipped without any warning, which is annoying the first time and useful after that, because it forces every entry to be specific enough for somebody else to check.

How it counts

The target is fixed at 40 hours. The tool adds up the hours from every row that passes, subtracts that from 40, and stops the remainder at zero so you never see a negative. Progress is your total divided by 40, shown to one decimal place, and it is capped at 100% no matter how far past the target you go. Activities logged counts rows with a name and hours in them, so an empty row you forgot about will not inflate it.

Hours accept decimals. The field steps by 0.5, so a two and a half hour shift goes in as 2.5 and a 45 minute setup as 0.75 if you want that level of detail. Blank or zero-hour rows stay in the list harmlessly: they are neither counted nor flagged, which means a half-filled row can sit there for months looking like progress it is not.

What actually earns a credit

The spirit of the requirement is unpaid work that benefits someone other than you: a community group, a sports club, an environment project, a fundraiser, tutoring, running a game table at a senior centre. Shifts at a paid job do not count, and neither does anything your family normally does for itself.

Keep three things with each entry while you are at it, because the number is only as good as the record behind it. Write the dates down as they happen rather than in a batch later. Keep a supervisor or coordinator name and a phone number for each organization, since schools commonly ask for a contact. And round honestly: 45 minutes is 0.75, not 1, because the hours you over-report are the ones that get questioned.

The requirement and its rules are set by your province and your school board, so if you are not in Ontario, treat 40 as this tool’s built-in target rather than your own. Your school’s guidance office is the source that wins here.

That reads 31.0 hours, 9.0 remaining, 77.5% progress, 4 activities logged. Add a fifth entry of 9.5 hours for a community dinner and the total becomes 40.5, the remainder drops to 0.0, and the progress figure reads 100.0% because it stops at the cap even though you are half an hour over. The success line replaces the “you need X more hours” line as soon as the total reaches 40.

Notice what does not happen: nothing is saved. Refresh the page and the log is gone, and Reset clears it on purpose. If this record matters in May, keep a copy somewhere else as well — a note on your phone, a spreadsheet, the confirmation emails from each organization.

Frequently asked questions

Why did a row not count toward my total?

Almost always a missing organization name. Hours with no organization are skipped, and so is anything with a blank or zero hours value. Fill in the name and press Calculate again.

Can I enter half hours?

Yes. The hours field accepts decimals and steps by 0.5, so 2.5 and 6.75 both work. The total is printed to one decimal place, so 6.75 plus 6.75 shows as 13.5.

Does the progress percentage ever go above 100?

Not as displayed. It is capped at 100.0%, so logging 40.5 or 52 hours still shows 100%. The total hours line keeps the real figure, so you can still see how far past the requirement you went.

Is this record enough to graduate?

It is your own working record, not an official system, and it verifies nothing. Your school holds the form or portal where hours get signed off, so treat this as the draft and that as the copy that counts.

What if I have not started?

Enter one row. A single 3-hour shift is 7.5% of the requirement, and watching a number move is more convincing than a target of 40 sitting still. Half the requirement is 20 hours, and across eight terms that is 2.5 hours a term: one afternoon.
